This Privacy Policy explains how Raccoon Machines (“Raccoon,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you use the Inspect mobile application, Inspect Pro features, cloud processing, inspection reports, and related app-based services (collectively, the “Inspect Services”).
This Privacy Policy applies to the Inspect Services only.
Purchases, shipping, returns, and fulfillment of physical products through the Raccoon Machines store are covered by our separate Store Privacy Policy and Terms of Sale.
1. How Inspect Works
Inspect is designed as a vehicle inspection and visual documentation tool.
You do not need to create a Raccoon account or user profile to use the Inspect app.
You control how you use the app, including what you capture, keep, delete, mark, annotate, review, or share.
Inspection Content is transmitted to Raccoon's cloud services when you initiate a cloud-based feature that requires transmission or processing, such as generating a cloud-based inspection report or using another cloud processing feature.
We do not use Inspect to create a general profile of your activity or to monitor how you use your device outside the Inspect Services.
2. Information We Collect
Inspection Content
When you use the Inspect Services, you may capture, select, create, or submit photos, videos, video frames, notes, comments, marks, labels, and related inspection content (“Inspection Content”).
Inspection Content is intended to document vehicle condition, including vehicle undersides, components, corrosion, leaks, damage, wear, and related visual conditions.
Inspection Content that remains on your device is not transmitted to Raccoon's cloud services solely because it was captured or created in the Inspect app.
When you initiate a cloud-based feature, such as report generation or cloud processing, the Inspection Content needed to provide that feature may be uploaded to and processed by our cloud infrastructure.
Inspection Content is not intended to include personal, sensitive, confidential, intimate, or unrelated information. However, depending on what you choose to capture, upload, or write, Inspection Content may include personal information, such as faces, license plates, addresses, documents, contact details, or other identifying information.
You control what you capture, submit, and share through the Inspect Services.
Inspection and Report Information
When you use cloud-based Inspect features, we may process information needed to receive, process, generate, and provide an inspection report or other requested output.
This may include inspection date and time, app-generated report identifiers, uploaded file structure, processing status, report creation status, and other technical information needed to generate and display the requested report.
App and Device Information
We may process limited technical information reasonably necessary to operate, secure, troubleshoot, and maintain the Inspect Services.
This may include app version, device or operating system information, upload status, request status, and technical error or performance information generated when the Inspect Services communicate with our infrastructure.
Subscription and Purchase Information
If you purchase, activate, or manage Inspect Pro or other paid access through Apple, we may receive or process limited purchase-related information from Apple or StoreKit, such as product identifiers, subscription status, transaction identifiers, renewal status, expiration dates, refund status, and entitlement information.
We use this information to provide paid features, verify access to Inspect Pro, manage subscription status, prevent fraud or abuse, and support purchase-related troubleshooting.
We do not receive your full payment card number from Apple.
Contact and Support Information
If you contact us for support or otherwise communicate with us, we may collect information you provide, such as your name, email address, message content, and information related to your support request.
3. How We Use Information
We use information processed through the Inspect Services to:
provide features you request;
receive and process Inspection Content submitted for cloud-based features;
generate inspection reports;
create and provide shareable report links;
provide Inspect Pro features and other requested processing features;
store and display generated reports;
process marks, notes, comments, highlights, and related inspection information included in a report;
troubleshoot failed uploads, processing errors, and report generation issues;
protect the Inspect Services from abuse, misuse, or security threats;
respond to support requests; and
maintain and improve the reliability and performance of the Inspect Services;
verify Inspect Pro access, subscription status, purchases, renewals, expirations, refunds, and related entitlements.
We do not sell personal information or Inspection Content.
We do not use Inspection Content for third-party advertising.
4. Cloud Processing and Reports
Inspection Content is uploaded to Raccoon's cloud infrastructure when you initiate a feature that requires cloud transmission or processing.
Cloud-based processing may include receiving uploaded Inspection Content, processing files, extracting or generating report content, applying requested automated features, storing report assets, and generating a report.
Generated inspection reports may include uploaded images, video frames, notes, marks, comments, automated highlights, summaries, or other processed inspection outputs.
Inspection reports may be made available through unique, non-indexed report links.
Report links are not designed as authenticated or access-controlled storage. Anyone who obtains or receives a report link may be able to access the report without signing in.
You should share report links only with people you intend to give access to the report.
5. Sharing Through Your Device
Inspect may allow you to share images, Inspection Content, or report links using sharing features provided by your device or operating system.
When you choose to share content using those features, the destination, recipient, or third-party service you select may process the shared information under its own terms and privacy practices.
Raccoon does not control how a recipient or third-party service uses information after you choose to share it with them.
6. Automated Features
Inspect may include automated or computer-assisted features that process Inspection Content to organize, enhance, highlight, summarize, or prioritize portions of an inspection.
Automated features may be incomplete or inaccurate. They may miss visible conditions, incorrectly highlight areas, or fail to identify relevant issues.
The use of automated features does not change how we treat Inspection Content under this Privacy Policy.
7. Service Providers
We may use third-party service providers to help operate the Inspect Services, including cloud hosting, storage, file processing, security, app infrastructure, purchase and subscription functionality, and customer support.
These providers may process information as reasonably necessary to provide services to us and operate or support the Inspect Services.
For example, we use Amazon Web Services for certain cloud infrastructure, storage, and processing functions, Apple services for app distribution, purchases, subscriptions, and related entitlement functionality, and Crisp for customer support and communications.
We may add or change service providers as the Inspect Services evolve. We will update this Privacy Policy where required to reflect material changes to our data practices.
8. Sharing of Information
We may share information:
with service providers that help us operate the Inspect Services;
when you intentionally create or share a report link or otherwise direct information to be shared;
when reasonably necessary to comply with law, legal process, or a valid government request;
when reasonably necessary to protect the rights, safety, security, and integrity of Raccoon, users, vehicles, property, or the Inspect Services; or
in connection with a business transaction, such as a merger, acquisition, financing, reorganization, or sale of assets.
We do not sell personal information or Inspection Content.
9. User Control and Deletion
You control Inspection Content stored locally through the features available on your device and in the Inspect app.
You may request deletion of Inspection Content or a generated report stored through our cloud services by contacting us at contact@raccoonmachines.com.
Because Inspect does not require a Raccoon account and reports may not be associated with an identified user, we may require you to provide the applicable report link, report identifier, or other information reasonably necessary to identify the content you want deleted.
We may take reasonable steps to verify that a deletion request relates to the applicable Inspection Content or report.
When content is deleted from active systems, limited copies may remain temporarily in backups, logs, or systems where immediate deletion is not technically practical.
We may retain limited information where reasonably necessary for security, legal compliance, fraud prevention, dispute resolution, or other legitimate business purposes.
10. Retention
We retain cloud-processed Inspection Content and generated reports for as long as reasonably necessary to provide the requested Inspect Services, maintain report access, operate the Inspect Services, comply with legal obligations, resolve disputes, and maintain service security and reliability.
Inspection Content stored only on your device is controlled through your device and the Inspect app and is not retained by Raccoon.
11. Security
We use reasonable technical and organizational measures designed to protect information processed through the Inspect Services.
However, no method of transmission, storage, processing, or sharing is completely secure.
Report links should be treated as access links. Anyone who obtains a report link may be able to view the applicable report.
12. Sensitive and Unrelated Content
The Inspect Services are intended for vehicle inspection and related vehicle documentation.
Do not upload or submit personal, sensitive, confidential, intimate, illegal, or unrelated content to Raccoon's cloud services through the Inspect Services.
This includes, without limitation, government identification documents, financial information, medical information, private or intimate images of people, explicit content, passwords, security credentials, or other information that is not reasonably necessary for vehicle inspection or documentation.
Because you control what you capture and submit, Inspection Content may technically contain information that was not intended for the Inspect Services.
If we become aware of content that violates these Terms, applicable law, or the intended use of the Inspect Services, we may remove or restrict access to that content as permitted by our Terms of Use and applicable law.
13. Tracking and Advertising
We do not use Inspection Content for third-party advertising.
We do not use the Inspect Services to track your activity across apps or websites owned by other companies for advertising purposes.
14. Children
The Inspect Services are not intended for children under 13.
We do not knowingly collect personal information from children under 13.
If we learn that we have collected personal information from a child under 13, we will take reasonable steps to delete it.
15. International Users
The Inspect Services are operated from the United States.
If you use the Inspect Services from outside the United States, information submitted for cloud-based processing may be processed in the United States or other locations where our service providers operate.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to the Inspect Services, our data practices, service providers, or applicable law.
If we make material changes, we will update the “Last updated” date and may provide additional notice through the Inspect app or our website.
